You talk. We don't listen any more than we need to.

SyncRoom processes your messages to translate them. That's the core of what we do — and the limit of what we do with them.

What this policy covers

This Privacy Policy explains what information SyncRoom collects when you use our service, why we collect it, how we use and protect it, and what choices you have. It applies to everyone who uses SyncRoom — whether you created a room, joined one via invite, or are just browsing our site.

What we collect and why

Email address

Used to verify your identity via OTP and to create your account. We may send you transactional emails (room invitations, account notices). No marketing unless you explicitly opt in.

Name (first and last)

Shown to other participants in the room so everyone knows who they're talking to. You set this once in preferences and can change it at any time.

Preferred language

Used to determine which language your messages are displayed in and which language you receive translated messages in. Stored in your profile.

Messages you send

Stored to power the room experience: delivery to other participants, translation, and history. Messages may be passed to AI translation providers to generate translations. See the section on third parties below.

Translations

The translated versions of your messages are stored so other participants can read them and so you can view the translation history of a conversation.

Room metadata

Room name, creation time, participants, and invite links. Used to manage room access and display room history.

Technical logs

Standard server-side logs (IP address, request timestamps, error events). Used for security, debugging, and abuse prevention. Not linked to message content.

How we use your data

Everything we collect is used to provide the SyncRoom service. Specifically:

We do not use your data for behavioral advertising, profiling, or training AI models.

Translation and third-party AI providers

Translating messages requires passing them to AI language model providers. When you send a message, its text is sent to one or more AI providers to generate translations into the preferred languages of other room participants.

We select providers that commit to not using submitted content for model training and that maintain appropriate data handling standards. The content of your messages is not stored by these providers beyond the time needed to generate translations.

By using SyncRoom, you accept that this is a necessary part of how the service works. If you are discussing sensitive or confidential matters, treat any AI-powered translation service — including SyncRoom — accordingly.

Data sharing

We do not sell your data. We do not share your messages or personal information with advertisers, data brokers, or unrelated third parties.

We share data only in the following circumstances:

Data retention

Room messages and translations are kept for as long as the room is active plus a reasonable window after last activity, after which they may be purged. You can export your conversation before this happens.

Account data (email, name, language preference) is kept for as long as your account exists. You can delete your account at any time. On deletion, your personal data is removed from our systems within a reasonable period, except where retention is required by law.

Technical logs are retained for a short period for security and debugging purposes and then deleted automatically.

Security

We use industry-standard security practices: HTTPS for all data in transit, encrypted storage for sensitive fields, access controls limiting who within our team can access data, and regular monitoring for unauthorized access.

No system is completely secure. If you discover a security vulnerability in SyncRoom, please report it to security@syncroom.chat before disclosing it publicly.

Children's privacy

SyncRoom is not intended for users under 16 years of age. We do not knowingly collect personal information from children. If you believe a child has created an account, please contact us and we will remove the account and associated data.

Changes to this policy

We may update this Privacy Policy when the service changes or when laws require it. If the changes are material, we will notify you by email before they take effect. The date at the top of this page reflects when the policy was last revised.
